Admin Assistant

Are you a detail-oriented professional looking to make a meaningful impact? We’re seeking an Administrative Assistant to join our team and support our organizational operations. In this role, you’ll manage office activities, oversee processes, and provide essential administrative support to ensure smooth day-to-day functions.

Job Summary
The Administrative Assistant will work closely with the Executive Director and leadership team to handle office management,  reporting, vendor relations, and other key organizational tasks. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities effectively.

Responsibilities

  • Maintain and improve office procedures including mail handling, inventory management, and office procedures and filing systems.
  • Perform general clerical duties, including copying, scanning, faxing, filing, emailing, and managing office supplies and purchases.
  • Collect and compile information for financial reporting, registration, certifications, and renewals
  • Complete entry of pledges and donations in donor management software, and prepare acknowledgments.  
  • Answer and route calls, schedule vendor service appointments, and coordinate IT support.
  • Assist in preparing for annual audits by organizing and providing required documentation.
  • Prepare meeting agendas, take minutes, and support organizational initiatives such as community events and scheduling as necessary.
  • Maintain accurate personnel records, assist in hiring and onboarding, and collaborate on employee training.
  • Perform additional duties as needed to support organizational goals.

Qualifications

  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office Suite and database management.
  • Ability to maintain confidentiality and manage sensitive information.
  • Familiarity with nonprofit operations or donor systems is a plus.

Salary Range:  $16.00 - $20.00 / hour.
